# Prompts and topics

> The questions Koalr asks on your behalf, how they are grouped, and how to add, edit, accept and retire them.

A **prompt** is a real question a buyer might ask an AI platform: "best CRM for a small agency", "is Acme worth the money", "how do I migrate my CRM without losing data". A **topic** groups related prompts so you can read visibility by theme.

Koalr proposes both when you set up a site, from what it read on your website. You can edit everything, at setup and afterwards on the Prompts page.

## Where prompts come from

Koalr generates prompts in the language of the site's country, across the funnel from broad discovery questions down to niche, high-intent ones (see [Funnel stages](/set-up/funnel-stages)). It also keeps generating **suggestions** over time from what it learns in the answers: follow-up questions, the phrasings real people use, and questions where competitors appear.

## Active, suggested, inactive

The Prompts page has three lists:

* **Active**: prompts that run on every analysis and count towards your metrics. These use your plan's prompt allowance.
* **Suggested**: prompts Koalr proposes but has not run. Accept the ones you want; reject the rest. Suggestions cost nothing until accepted.
* **Inactive**: prompts you have deactivated. History is kept and the prompt can be reactivated any time.

## Adding and editing

* **Add a prompt**: type the question, choose or create a topic, and it joins the active list on the next run.
* **Edit wording**: suggested prompts can be reworded (the pencil on the row) before you accept them. An active prompt's wording is fixed, because its history would no longer describe the same question; deactivate it and add the new wording as a fresh prompt.
* **Move to topic**, **rename topic**, **delete topic**: topics are yours to reorganise. Deleting a topic is reserved for managers and owners.
* **Deactivate in bulk**: select several prompts and deactivate them together.

## Prompt allowances

Every plan includes a number of tracked prompts per site. Accepting a suggestion or adding a prompt beyond the allowance shows what the limit is and how to raise it. Agencies draw from a pooled allowance across every client site instead. See [Plans and billing](/account/plans-and-billing).

## Writing good prompts

* **Ask what a buyer would ask**, not what you would search. "Which project management tool suits a design studio" beats "project management tool design studio".
* **Cover the funnel.** A few broad discovery prompts, more mid-funnel comparison prompts, and a set of specific, high-intent ones. Broad prompts are competitive and noisy; specific ones are where a focused brand wins first.
* **Do not put your own name in unbranded prompts.** Prompts that name you are handled separately; see [Branded prompts](/set-up/branded-prompts).
* **Do not put a city in a prompt to target that city's market.** The country is fixed per site. A place name inside the prompt is just part of the question.
