Koalr’s collection network interacts with each AI platform the way a real person would, from real browser sessions in the country your site is set to. Every answer is stored in full, so what you read in Koalr is what a buyer in that market was shown.
Real prompts, asked the way buyers ask them
Koalr does not simulate or estimate AI answers. Each tracked prompt is a real question, in the language of the market you track, sent to each AI platform the way a person would type it. The answer that comes back is stored in full: the text, the brands it names, the sources it cites and, where the platform exposes them, the background searches it ran to build the answer.Runs
A run is one pass over every active prompt on every platform a site tracks. Sites on the daily schedule run automatically overnight, so fresh numbers are waiting each morning. A site can also be paused, in which case nothing refreshes until someone starts a run from the All Sites page. Two things refresh on a weekly cycle rather than daily:- Claude is captured weekly. It is kept out of the metrics that blend platforms together, so a once-a-week capture cannot make the daily trend saw-tooth. It appears in every per-platform view.
- Branded prompts (ones containing your brand name) are checked weekly, because how AI describes you moves slowly and daily checks add nothing.
Database-first: nothing is fetched when you open a page
Every page in Koalr reads from stored runs. Opening the Dashboard, switching a filter or sharing a report never triggers a new query to an AI platform. That is why every page carries a Data as of stamp: it tells you which run you are looking at. It also means numbers are reproducible: two people looking at the same site see the same figures.One country per site
The country is fixed when a site is created. It decides where the AI platforms are queried from and the language the prompts are written in. Putting a city name inside a prompt does not change the country it is asked from. A brand selling into several countries tracks one site per country. - A sample, refreshed daily. AI answers vary between sessions. Koalr measures the rate at which you appear across many prompts and many days, which is far more stable than any single answer. Do not read one prompt on one day as a verdict.
- Mentions are detected by name. Koalr looks for your brand name and its alternative names in the answer text. Add the names people actually use for you (a trading name, an abbreviation) in the site’s configuration so nothing is missed.
- Citations are separate from mentions. An answer can name you without linking to you, and link to a page of yours without naming you. Koalr records both and never folds one into the other. See Citations and mentions.
